How to find email addresses of company employees

To find the email addresses of a company's employees you need two things: each person's full name and the domain the company receives mail on. An employee email finder learns the company's address format once, builds each employee's address from it, and confirms the ones the company published on its own pages. Nothing is sent to anyone during the check.

  • Deals at mid-market and enterprise accounts are rarely decided by one person. You usually need the champion, their manager, finance and whoever owns the system you are replacing.
  • One company, one format. Once the pattern is confirmed for the first employee, the rest are faster and more certain, apart from the people with duplicate names.
  • People leave. Reading the company's pages on the day you search drops the employee the company already took off its site, which a contact database export will not.
  • You pay for addresses you can use. Searches that miss, pattern guesses without proof and duplicates are not billed.
03USE CASES

Who looks up employee emails, and why

The common thread: you already know which company matters and roughly who works there. What is missing is an address for each person that will not bounce.

Account based sales teams

An account executive working 40 named accounts wants four to eight people at each: the likely champion, the budget holder, the technical evaluator and an executive sponsor. That is 200 to 300 employees across 40 domains, which fits in one CSV and one afternoon instead of a week of guessing.

Vendors selling into one department

Payroll software is bought by HR and finance. Security tools are bought by IT. If you sell into one function, you need the controller, the HR director or the IT manager at each target company, and their company email address checked before the sequence starts.

Recruiters sourcing from a named company

When the brief says "engineers from these five companies", the names come from LinkedIn and the addresses come from here. Our recruiter email finder page covers the candidate side, including exporting to an ATS.

Partnerships, BD and investor relations

Partnership managers, corporate development teams and fund IR staff all need the right two or three people at a firm, not the info@ inbox. For the top of the company, the CEO email finder covers founders and executives.

04HOW IT WORKS

How do I find someone's work email at a company?

  1. List the employees

Full names from the company's team page, LinkedIn, a conference speaker list or a press release. One name, or a CSV with a name and domain per row.

  2. Resolve the mail domain

Plenty of companies send mail from a different domain than their website, after a rebrand or an acquisition. We follow the MX records to the domain that actually takes the mail.

  3. Apply the company format

Candidate addresses for each employee are ranked by the format that company uses and the evidence behind it, so first.last and jsmith are not treated as equally likely.

  4. Check each address

We check the domain's mail records, look for every address on the company's own pages and return confirmed, not confirmed or not found for each employee.

If you do not have names yet, start with a domain email lookup: it returns the public work addresses found on the company's domain and the format they share. If you have one name and want to understand every pattern a company might use, find email address by name walks through them.

05COMPARE

Four ways to get employee email addresses

Each route has a place. The question is how current the address is on the day you send, and what you pay for the ones that turn out wrong.

RouteWhat you start fromHow current the address isBest for
Guessing the format by handA name and one known address at the companyUnknown until it bounces or someone repliesOne message where a bounce costs nothing
Company website and team pagesThe company's own siteWhatever was published, often a shared inboxSmall firms that list staff with addresses
Contact databasesTitle, seniority and company filtersAs of the vendor's last refresh, which can lag job changes by monthsDiscovery when you do not know who works there, usually on an annual contract
EmailExtractorEmployee names and the company domain, or a CSV of themDomain checked and the company's pages read when you searchTeams that know who they want and need verified addresses by the month

Many teams combine them: a database or LinkedIn to decide who to contact, and a finder to confirm each address the day the sequence goes out. Teams that open a database seat only to copy emails often drop it; the cost per contact is worked out on our RocketReach alternative page. We return work addresses on company domains only. We do not return personal Gmail or Outlook addresses, home phone numbers or social handles.

06ACCURACY

Where employee email lookups go wrong

Three situations cause most wrong addresses at a single company. Each one is handled differently, and we tell you which one you hit.

Two employees, one name

The second Chris Miller at a company usually gets a middle initial or a number (cmiller2@). The format alone cannot tell you which one you have, so the evidence column matters more than the pattern.

Addresses nobody published

When the company never published an address, we return the most likely one from its naming pattern, marked not confirmed, and do not bill it. Send to those in a small batch first.

Subsidiaries and rebrands

An employee of an acquired company may still receive mail on the old domain, or on the parent's. When the website domain has no mail records, we look for the domain that does and show you which one we used.

If you already hold a list of employee addresses from an old export, check it before you use it. Our bulk email verification runs the same server checks on a CSV and flags the people who have left.

07PLANS

Which plan fits employee lookups

Flat monthly plans with a limit on verified finds. A lookup that returns nothing usable does not count.

Starter, $49 a month

1,000 verified finds and 2 seats. Enough for a founder or one rep working 50 to 100 accounts with several contacts each. CSV import and export up to 1,000 rows.

Growth, $149 a month

5,000 verified finds and 10 seats. Bulk jobs up to 10,000 rows and native export to HubSpot, Pipedrive and Salesforce, so each employee lands on the right account record.

Scale, $399 a month

20,000 verified finds, unlimited seats, the REST API and webhooks, for RevOps teams enriching new accounts automatically and agencies working for several clients.

08QUESTIONS

Employee email finder questions

How do I find the email addresses of employees of a company?

List the people you need by full name, from the company website, LinkedIn or a press release, and take the domain the company receives mail on. An employee email finder works out the company's address format from the addresses it published, builds each person's address, and confirms the ones the company published itself. You get the most likely address per employee with its evidence.

How do I find someone's work email?

You need their full name and their employer's domain. Enter both into an email finder, which ranks the address patterns that company uses and confirms the address when the company published it. When it did not, the honest answer is the most likely pattern marked not confirmed, not a promise.

What is the most common company email format?

In US companies the most common format is [email protected], followed by first initial plus last name (jsmith@) and first name only at small firms. Every employee at one company follows the same rule, with exceptions for duplicate names and long surnames, so confirming the format for one person tells you most of what you need for the rest.

Is it legal to email employees at a company?

In the US, yes. CAN-SPAM allows unsolicited business email to a work address as long as you identify yourself honestly, use a truthful subject line, include a postal address and honor opt-out requests promptly. If you email people in the EU or UK, GDPR and PECR also apply, so document your legitimate interest and keep a suppression list.

How many employees at one company can I look up?

As many as your plan allows. A search counts against your limit only when it returns a verified address, so a buying committee of eight people costs eight verified finds at most. On Growth you can upload the whole list as one CSV of up to 10,000 rows, across as many companies as you like.

What happens when an employee has left the company?

Most companies delete or disable the mailbox within weeks of someone leaving, and usually take the person off the website too. We read the company's pages fresh at every search, so an address the company took down is no longer confirmed. We do not test mailboxes on the mail server, so for someone who may have left, check before you send.

Reach every person on the account, at the address they read

Verified employee emails, one name at a time or a whole buying committee from CSV.
